Channel data in first
Every sales channel is brought in at the settlement level — gross sales, refunds, fees, ads, reserves — before anything touches the bank feed. Payouts get matched to settlements, not to guesses.
Services / Ecommerce Bookkeeping
Bookkeeping for inventory businesses is a different job than bookkeeping. Ben learned it as Controller at JoyJolt, closing the books for a DTC brand selling on Amazon, Shopify, and 15+ channels with GoFlow running order management — plus accounting roles at Adorama and at a freight-forwarding company before that. This page is the close we run, step by step.
What usually needs fixing
COGS isn't real. Product cost excludes freight and duty, or inventory is expensed when purchased. Gross margin looks stable while the actual cost per unit has moved.
Payouts are coded as revenue. Net deposits hit the sales account, so fees, refunds, and ad spend are buried and the top line is wrong in both directions.
The balance sheet is unsupported. Clearing accounts, sales tax, and inventory carry balances nobody can explain — which is usually where a cleanup starts.
The monthly close
Every sales channel is brought in at the settlement level — gross sales, refunds, fees, ads, reserves — before anything touches the bank feed. Payouts get matched to settlements, not to guesses.
Bank accounts, credit cards, loans, and gateway clearing accounts tied out to statements. If something doesn't clear, it stays visible instead of being force-matched.
Purchases, inbound freight, duty, and handling capitalized into unit cost. Units on hand, in transit, and at the 3PL reviewed. Adjustments and shrink recorded on purpose.
Freight invoices that arrive late, ad spend that bills after month-end, settlement periods spanning the close — all put in the period they belong to.
AR, AP, payroll liabilities, sales tax, gift cards, and clearing accounts each supported by something you could hand to a lender or a CPA.
P&L, balance sheet, and cash flow, with a short summary of what changed and what deserves your attention this month. No jargon, no 40-page packet nobody reads.
